LipidomicNet Project

Please note that lipidomicNet project was successfully carried out and officially finalized, what also means that all operations within this project are completed.

On behalf of project coordinator team, we would like to thank the project officer of LipidomicNet as well as financial officers for their professional cooperation.

LipidomicNet Final Report 

Dear LipidomicNet partners,

This is to inform you about LipidomicNet financial report for the 4th period. The fact is that some partners have to provide more details in the report such as use of resources (UoR), for example. Even though Project manager explicitly pointed out that this information was needed, some financial reports missing UoR tables without it, unfortunately.
Please note that last year, it was possible for management to edit C-forms on behalf of partners, what is not possible anymore and partners have to finally learn how to do things correctly. For this reason, ssome helpful tips are provided below. There were derived from Correction request letter of EC Directorate F-Health and from EC online documentation. 

Thus for financial report to be completed consider the following important points:
1. Always fill in the UoR Tables, including work-packages (WP) and person-months in each WPs.
2. Make sure that online and paper versions of Form Cs are the same.

3. Audit: CFS (Certificate on financial statements) Use all the templates from EC webpage in your audit documentation and follow them rigorously. Remember; the original ToR (Terms of Reference) is always needed along withIndependent report and Procedures performed while CFS has to follow the reporting format given in Annex VII (Form D) of the model Grant Agreement.

According to this format the CFS is composed of three separate documents (see Annex VII (Form D) of the Model Grant Agreement namely:

i) Terms of Reference (ToR) for an Independent Report of Factual Findings on costs claimed under a Grant Agreement financed under the Seventh Research Framework Programme (FP7);

The Terms of Reference should be completed by the Beneficiary and be agreed with the Auditor. It has to dated and signed by both parties. 

ii) Independent Report of Factual Findings on costs claimed under a Grant Agreement financed under the Seventh Research Framework Programme (FP7);

The Independent Report of Factual Findings should be provided by the Auditor: it has to be printed on a letterhead paper of the Auditor, has to be dated, stamped and signed by the auditor. Also, note that the Independent Report has to be addressed to the beneficiary.

iii) Procedures performed by the Auditor (Page 7 of Annex VII).

Procedures: according to the letter "All the procedures listed on the left hand side of Form D are to be carried out, unaltered by the auditor. The Commission has designed these procedures in order to obtain standardised and comparable reports from all auditors who are expected to carry out the procedures without adaptation for the particular circumstances of the beneficiary. In particular the minimal sample sizes should always be respected, and all procedures should be carried out in full." Auditors must describe all the procedures in full on the left side of the procedures table. Do not omit any procedure, if not relevant, just write "not applicable" on the right hand side of the table.

4. The price paid for the CFS must be indicated without VAT in ToR and in the FormC. The audit costs have to be declared under Management Activity [Box 1, Management (C)].

5. Name of the auditor has to be indicated in the Form C as well [Box 5, Cost of the certificate (in €)].

LipidomicNet final report

Lipidomicnet final report was submitted and accepted (Update on 11.11.2013).

LipidomicNet Project Reporting: final report (28.11.2012)

Here you will find a template for final report in MS Word format. Also, an excel template distributed via email is available here. In this excel file, section 2 "Use and dissemination of foreground" (all tabs with names starting with number 2) and Section 3 "Report on societal implications" (all tabs with names starting with number 3) have to be filled and sent to WP8 (Dissemination) and WP1 (Management) leaders, respectively. It is better you send one excel file to both addresses. The first two tabs are for your information only, outlining the final report structure.

LipidomicNet Project Reporting: 4th periodic report (28.11.2012)

Dear LipidomicNet partners, today a group email was disributed to all PIs about previous reports of LipidomicNet being available via Amazon cloud service, while LipidomicNet Wiki does not support so large files like out reports. LipidomicNet Project Reporting: 4th periodic and final report guidelines (12.11.2012)

Important to emphasize that we now have a double work to do as we have to complete normal periodic report for the 4th period and, in parallel, a summarizing final report.

LipidomicNet Project Reporting: 4th periodic report (12.11.2012)

Below are some templates for 4th periodic report of LipidomicNet to download.
Financial reporting forms for your reference, Form C.N and Table 3.N (where N is a partner number) are available here. Note that these are copies of forms to be filled online. Management does not need your forms sent per email. Please fill everything online. Regensburg will check the correctness and submit them to the Commission. Only after this submission, the watermarks will disappear, NOT before. You will get automatic confirmation from the system. Only then, you have to download the pdf version of Form C, print it, sign, stamp and send to Regensburg per post.

LipidomicNet Periodic Reporting

LipidomicNet Project Reporting: the Former Periods (14.10.2011)

To summarize: LipidomicNet 3rd year and financial reports were submitted. As a follow up of comments on financial issues, after two iterations, all necessary information was sent to Brussels to a new financial officer of LipidomicNet. The approval of financial report is being still awaited.

Meanwhile, two amendments were sent to Brussels for approval: according to the approved 2nd amendment, beneficiary P09 JUMC became a P27 UJ.

The 3rd amendment comprising a set of changes in the consortium is in evaluation.

LipidomicNet Project Reporting (22.06.2011)

The updated project report template is available from here. WP leaders have to provide their WP reports following the guidelines and format of the template.
NOTE: that deliverables report is completely separate from WP report. For each deliverable, WP leaders have to provide ONE separate file (in MS-WORD format) what will be uploaded into online reporting system of European Commission. Also, write in the text whether particular deliverable was accomplished (when there is a due date at the end of this reporting period, i.e. 36 months) and is still running (if the deliverable has to be delivered in the next reporting period). According to these individual deliverable reports the table of deliverables will be filled automatically be the system well. If you have deliverable related reference (publication, online text, etc.), please mention it in the deliverable.

Pease note that project report has to be completed by the end of June, 2011! As we will meet in Krakow at the next LipidomicNet SC meeting, it very desirable that we have the WP report ready to discuss it at the Business meeting.

LipidomicNet interim report (07.12.2010)

LipidomicNet interim report was submitted and accepted. Please note that these reports have to be submitted to LipidomicNet Project officer after first 6 months of each period.

Project reporting Period 3

Dear LipidomicNet members,

I would like to remind you that the 3rd periodic report has to deliver to the EC. We have to separately deliver the Deliverables (to upload one file for each of the deliverables online) and the Scientific reports (using the given template available from here).

Please note that it is desirable to get the deliverables report as soon as you can to provide but no later that 15th of June 2011 deadline (as each file has to uploaded online individually). For the sciectific report the deadline in 20th of June, 2011. Below is a short summary of what is needed for the scientific report:

3.1 Publishable summary

3.2 Core of the report for the period: Project objectives, work progress and achievements, project management

3.2.1 Project objectives for the period

Please provide an overview of the project objectives for the reporting period in question, as included in Annex I to the Grant Agreement. These objectives are required so that this report is a stand-alone document.

Please include a summary of the recommendations from the previous reviews (if any) and indicate how these have been taken into account.

3.2.2 Work progress and achievements during the period For each work package, except project management, which will be reported in section

3.2.3, please provide the following information:

A summary of progress towards objectives and details for each task;

Highlight clearly significant results;

If applicable, explain the reasons for deviations from Annex I and their impact on other tasks as well as on available resources and planning;
If applicable, explain the reasons for failing to achieve critical objectives and/or not being on schedule and explain the impact on other tasks as well as on available resources and planning (the explanations should be coherent with the declaration by the project coordinator)
a statement on the use of resources, in particular highlighting and explaining deviations between actual and planned person-months per work package and per beneficiary in Annex 1 (Description of Work);

3.4. Explanation of the use of the resources: so calledtables 3.N (N is number of Beneficiary) have to be sent per email ASAP by financial officers or PIs of each partner to Megi Sharikadze.


3.5 Financial statements – Form C, have to be filled online by PIs/financial officers and after acceptance by project coordinator and submission to the EC, have to be printed out from the online financial reporting system as PDF, be signed and stamped have to be sent ASAP to Regensburg to Megi Sharikadze.

Project reporting guidelines

In July, 2010, during the last SC meeting in Zurich, the project manager informed the consortium members about dissemination of project reporting resources on CDs. However,in light of further development and promotion of LipidomicNet website, the manager decided to integrate all the resources in the webpage what is more convenient for usage and maintenance of information provided by her.

LipidomicNet dissemination (14.10.2011)

A joint workshop of LipidomicNet and ENOR consortia "Analysis and function of oxysterols and other regulatory and lipotoxic molecular lipid species" resulted also in special issue of Chemistry and Physics of Lipids, Volume 164, Issue 6, Pages 409-624 (September 2011) edited by Gerd Schmitz, Luigi Iuliano and Gerard Lizard. The special issue of CPL has been posted on the BBA news letter (available here).

 
LipidomicNet meetings and workshops

LipidomicNet final meeting (30.10.2012)

LipidomicNet final meeting was successfully conducted in Regensburg. 53 participants of 24 partners and two external reviewers took part in the meeting which has lasted for 3 days from 8th till 10th of October, 2012. LipidomicNet partners presented thier work for the 4th period of the project run, while work package leaders have summarized achievements of work packages across the whole project run. The two members of the external Review Committee, Prof. Dawn Brasaemle and Prof. Edwar Dennis gave thier feedback on the whole project comparing 1st and 4th years  of the consortium activities. Further plans about LipidomicNet followup were made and agreed. Importantly, in 2013, larger LipidomicNet conference of disseminative nature is being planned.

LipidomicNet meetings and workshops (14.10.2011)

The next LipidomicNet workshop to be held in Utrecht The Netherlands on 19-20 of October, 2011 is finally organized. 

The attendees of the workshop can also to attend the "IB Conference on Biomembranes" on Friday 21st of October. More information about both events can be found on "Internal events" page.

LipidomicNet meetings and workshops (21.03.2011)

The dates of the next event of LipidomicNet, the workshop to be hosted by P11 (BRC HAS Hungary); 9-10 May, 2011 is planned and confirmed. The next Steering Committee meeting is planned to take place in Cracow (hosted by P09 JUMC) on June 27-28, 2011. The next autumn workshop is decided to have on Wednesday and Thursday October 19th and 20th, 2011 to be hosted by P02, UU in Utrecht, The Netherlands. The workshop is planned to be a good opportunity to attend the "IB Conference on Biomembranes" on Friday if one stays a day longer.  More information about IB conference can be found here.

LipidomicNet SC meeting, Bonn (18.01.2010)

So far, there are 66 participants of 20 partners registered for Bonn Steering Committee meeting to be held on 24-25 January, 2011.

LipidomicNet SC meeting, Bonn (15.12.2010)

So far only several partners (P01, P02, P07, P09, P15, P22) have submitted abstracts for LipidomicNet Bonn meeting (abstracts of P20 are pending). The deadline for submission is TODAY 15.12.2010

LipidomicNet meetings and workshops (24.11.2010)

The next Steering Committee meeting is planned to take place in Bonn (hosted by P15 UBO) on January 24-25, 2011. The next event will be a workshop to be hosted by P11 (BRC HAS Hungary) in May, 2011. The dates planned are 9-10 of May (still need to be confirmed).

LipidomicNet financial reports

Final report (11.11.2013)

Final payment was distribued to all partners. As there are two issues to clarify with EC and ,IEE SAS, the final money distribution table was only uploaded and not submitted in SESAM online reporting system. The answers are awated from Brussels and Bratislava.

Distribution of funding for 3rd period (24.11.2010)

The next funding is distributed to all partners but those 3 which did not update their bank details. As soon as we get the updated information from these partners, Regensburg financial department will transfer the money and thus distribution of funds will be finished.

Distribution of funding for 3rd period (12.10.2010)

After the approval letter from EC, the next payment is expected. For its distribution to partners, Regensburg needs to get the updated bank and financial data from& ALL partners. Please download the bank data template, fill it in and send to the project manager (Lipidomic.Net@klinik.uni-regensburg.de) as soon as possible. From experience we have learned that unfortunately, not all the partners were fast in this process, we do hope this will not be the case anymore. Financial Report and Amendments (19.10.2010)

LipidomicNet midterm report was accepted by the EC. LipidomicNet project has got a positive review of the external reviewer Anna Nicolaou. Further information about the next transfer of funds to the consortium is still awaited. Financial report and amendments are accepted. Amendments are in realization process.
